This policy explains what personal information Propvanta Property Solutions collects, why we collect it, how long we keep it and what you can ask us to do with it. It is written to align with the Digital Personal Data Protection Act, 2023 and the Information Technology (Reasonable Security Practices) Rules.

What we collect

We collect only what we need to respond to you and to deliver the service you have asked for.

  • When you submit an enquiry: your name, phone number, email address, city, the type of property you are interested in, your budget range and anything you write in the message field.
  • When you hold an account: the above, plus your property details, tenancy records, maintenance history, uploaded documents and the invoices and receipts tied to your account.
  • Automatically, when you browse: your IP address, browser type and the pages you visit. This is used to keep the site secure and to understand which pages are useful. It is not used to build an advertising profile.

Why we collect it

  • To contact you about the enquiry you submitted.
  • To provide the services you have engaged us for, including coordinating with the professionals and contractors working on your property.
  • To meet legal and regulatory obligations, including tax records and statutory registrations.
  • To secure the website against abuse — rate limiting, fraud prevention and access logging.

Who we share it with

We do not sell personal information, and we do not share it for anyone else's marketing.

We share only what is necessary, and only with:

  • Verified service partners assigned to work on your property — typically your name, the address and a description of the job.
  • Licensed advocates and chartered accountants engaged on your instructions for legal opinions, registration or filings.
  • Our hosting and email providers, who process data on our behalf under contract.
  • Government authorities, where we are legally required to disclose.

How long we keep it

  • Enquiries that do not become engagements: up to 24 months, then deleted.
  • Client records and transaction documents: for the duration of the engagement and eight years afterwards, which is the period Indian tax and contract law requires.
  • Security and access logs: 180 days.

How we protect it

The site is served over TLS. Passwords are stored as one-way hashes and are never recoverable, by us or anyone else. Access to client records is restricted by role, and every privileged action is recorded in an audit log. Uploaded documents are stored outside the public web directory and are served only after an ownership check.

Your rights

You may ask us to:

  • tell you what personal information we hold about you;
  • correct anything that is wrong or out of date;
  • delete your information, where we are not required by law to retain it;
  • stop sending you marketing messages, at any time.

Write to our grievance officer using the address in the footer. We will acknowledge within 48 hours and respond substantively within 30 days.

Cookies

We set one cookie, which keeps you signed in during a session. It is marked HttpOnly and Secure and is removed when you sign out. We do not use advertising or cross-site tracking cookies. If analytics is enabled, it is configured with IP anonymisation.

Children

This site is not directed at children, and we do not knowingly collect information from anyone under 18.

Changes

If this policy changes materially, we will note it on this page and, where we hold your email address and the change affects you, tell you directly.
